The New Year and Christmas holidays are approaching. This means that the secretaries will only have more trouble. One of them is preparing and sending New Year’s greetings to partners and clients. We'll tell you how to create and send New Year's Greeting Cards using MS Word, Outlook and PowerPoint and avoid common mistakes.

WE CREATE A GREETING CARD IN MS POWERPOINT FORMAT

Selecting pictures. Using the Internet, we find several drawings in PNG or GIF formats (the latter allows you to create animation in a postcard). For example, these (Fig. 1-4):

Open a blank presentation in MS PowerPoint without using any templates. Removing windows Heading slide And Subtitle slide. The result is a completely clean slide.

Create the background of the postcard. We use one of the pictures as a background. We insert it into the slide field and “adjust” it to the size of the slide (Fig. 5).

Then we place the rest of the pictures on the slide, and move one of them (with the image of Santa Claus) outside the main field of the slide (Fig. 6).

Adding animation. Now let's add animation (for this we use images in GIF format). In our example, this is a picture of Santa Claus. Select it by clicking, then on the bookmark Animation select a team Add animation, then - Other ways movements(Fig. 7).

In the window that opens, select the path of movement, that is, the trajectory of the image in the future postcard. For example, Sine wave 1 (Fig. 8).

The slide will show the trajectory of movement (Fig. 9), which can be changed with the mouse, like any picture (reduce, enlarge or move). In our example, Santa Claus moves from left to right (Fig. 10). To see what it will look like, click the button F5(slide show mode) and left-click on the slide. To exit this mode, just press Esc.


Adding text. You can now place text in the slide field. To do this, bookmark Insert select the option WordArt and then - the font you like (Fig. 11). A frame will appear in the slide field for adding text. It can also be easily adjusted with the mouse. Now let's add animation to the congratulatory inscription. To do this, bookmark Animation select a team Add animation, and then - Figure. Thus, two objects will move in the postcard - a figurine of Santa Claus and a congratulatory inscription.

We optimize postcard viewing. And the final touch. Typically, postcard recipients do not know how many times they need to click on it (or whether they need to) to see the animation. To prevent them from having such questions, we’ll set viewing parameters in the tab Region animations(Fig. 12). Since our greeting card contains several pictures with animation, right-click on each of them and select the launch type, for example Launch after previous(Fig. 13). In this case, all animated objects will move without additional clicks on the slide.


We save the postcard. The postcard should now be saved correctly. To do this, specify the file type: PowerPoint demo(Fig. 14).

So, the greeting card is ready. Now we need to send out congratulations. These can be personalized messages, when the addressee is the only recipient of the message, or sending the same type of messages to several recipients. Let's look at the mailing process in MS Outlook and find out how you can simplify your task.

Launch MS Word(empty file). Bookmarked Newsletters select a team Begin merger Step by step master mergers(Fig. 16).

In the window that opens Selecting a document type select the document type Electronic message and press Further.

Opening the document (Fig. 17). The following dialog box will open - Select a document, in which we choose the basis for creating a message. Since we already have MS Word open, we select it, that is Current document. Then press the command Further. Selecting Recipients(Fig. 18).

Note that there are two interesting columns in this list: Gender and Title. They will help you correctly address each recipient of your congratulations.

If the list is prepared, in the dialog box Selecting Recipients put a check mark next to the option Usage list and using the command Review, add the list (Fig. 20).

After adding a mailing list, in the window that opens, you can adjust the list of recipients: check the box next to those entries that should be included in the mailing list (Fig. 21). After adjusting the list of recipients, click OK.

Since we have a fairly simple mailing text (only the greeting changes), then in the dialog box Creation messages we will be interested in the option Line greetings(Fig. 22). Place the cursor at the very beginning of the mailing text and in the dialog box Creation messages select the option Line greetings. A window will open Insert lines greetings.

Here you can see the format of the greeting and, if necessary, adjust it, then click OK(Fig. 23).


To see how the mailing text will ultimately look like, in the window Creation messages select the option Further. View messages(Fig. 25):

If you find any inconsistencies while viewing, they can be easily eliminated by going to the dialog box Selection fields(Fig. 26).

After viewing the message, complete the merger by clicking in the window View messages team Further. Completion mergers(Fig. 27).

In the window that opens Completion mergers select the option Electronic mail(Fig. 28).

We send postcards. In the dialog box that opens Composite electronic letters fill in the fields To whom, Subject(Fig. 29). In chapter Send records, select the item

All. In this case, the letters will be sent to all recipients marked with a checkmark in the list and automatically placed in the “Sent Items” folder in MS Outlook.

WE DESIGN ENVELOPES IN MS WORD FOR PAPER DISTRIBUTION

For a small number of recipients

Despite the fact that today everyone uses e-mail, sending congratulations in paper form may still be necessary. Let's look at how you can automate the work of preparing envelopes in MS Word if you need to prepare a small number of envelopes.


Pressing the button Options, you can adjust the font, the location of the address on the envelope, the dimensions of the envelope (Fig. 32), etc., and also see how to correctly place the envelope in the printer tray for printing (Fig. 33).


The addresses are filled in, the envelope is in the printer tray - all you have to do is press Seal(See Figure 31) and the addressed envelope will be printed.

When there are many recipients

First, let's prepare a list of recipients. You can use the same list as for email newsletters, just add the “Address” and “Index” columns to it (Fig. 34).

When the list is ready, open an empty MS Word file. Then in the bookmark Newsletters select a team Begin merger, and in the drop-down list - the command Step by step master mergers(see Fig. 16 83). Next we perform the following steps:

■ Step 1: in the Select document type directory, click Envelopes(see Fig. 17).

■ Step 2: take as a basis Current document(see Fig. 18).

■ Step 3: Select Usage list(see Fig. 20).

■ Step 4: Select Block addresses(Fig. 22) - a dialog box will open Insert block addresses(Fig. 35).

In the window that opens, adjust the parameters of the address elements. For example, if the letter is addressed to a company and not a specific person, you need to uncheck the box next to the option Insert the recipient's name in the format. In chapter View You can see what the address on the envelope will look like. And use the arrows to scroll through and view all the decorated envelopes. If everything is in order, click OK.

■ Step 5. Check the decorated envelopes again.

■ Step 6. Click Print.

Creating postcards in in electronic format is not a complicated process and is carried out as follows:

  • in an Internet search engine, enter a request for a site that creates and sends electronic cards (for example: postcard.ru or mail.ru);
  • With the help of special servers, a postcard is created to your liking, which you can decorate with different patterns, as well as select the most attractive template, select color scheme with a beautiful font for the congratulation text;
  • If desired, electronic cards can be supplemented with musical accompaniment; it can be selected from a music catalog to suit the recipient’s taste;
  • to create the most interesting thematic plot, you can use graphic editor, however, the idea of ​​congratulations must be thought out in advance;
  • ready-made postcard placed in an interactive letter and then sent to its destination.

To ensure that creating postcards in electronic form does not cause difficulties, and also has a beautiful appearance, it is important to consider the following points:

  • It is best to use a graphic editor if you have certain knowledge and skills in working with this program, since studying it can take a lot of time;
  • creating postcards using ready-made template it will be much easier and faster, and you can adjust it according to your taste;
  • it is best to make postcards that are neutral in content, which will appeal not only to their creator, but also to those for whom they are intended;
  • When creating postcards, the main thing is to know when to stop and not to overdo it with the number of pictures, the amount of text, and also to maintain a certain color scheme.

But in any case, no matter what kind of e-cards you end up with, they will be wonderful congratulations on the holiday of your loved ones, because they are beautiful, impressive and unusual.

How to make a postcard in Word

You can make a postcard in Word, but here I want to point out why it’s better not to do this.

Word is text editor, therefore, with graphic objects, some difficulties arise when arranging them. And the result can only be seen by opening the postcard in . And if your recipient does not have this program, then he will not be able to see the postcard, or it will open in a distorted form in another word processor. The expected pleasant impression will be ruined.

But what should we do? We will use a program for creating presentations - PowerPoint. A postcard created in PowerPoint can be saved as a picture and will be available for viewing on any computer and on the Internet.

How to Make a Postcard in PowerPoint

Creating a postcard will only take a few steps:

1 Open the PowerPoint presentation program

First option

  • Start - All Programs - Microsoft Office - Microsoft PowerPoint 2010 (you may have a different version, but it doesn’t matter - all actions are universal)

  • There is a search in the start menu. Start typing the name there Microsoft programs PowerPoint and if it is installed on your computer, you will see it in the search results.

2 Select a layout

Since we are using a program to create presentations, the original slide will have markup. We don't need her. Let's remove it.

3 Set the background image

As a background for our postcard, let's take some beautiful drawing. Go to the tab Design – Background Styles – Background Format


In the settings window on the tab Fill choose Pattern or texture

In section Paste from: press the button File and select the desired picture from the folder. Click the button Insert and press the button Close in the window Background format.

The selected image will be stretched to fit the slide. The background is ready.

Now we can do a little magic on our postcard to give it an even more original look. To do this, we will add several additional elements to the slide: Santa Claus, the text of his congratulations and the title of our postcard. Well, to make it clear that the congratulations are from Santa Claus, let’s make a callout for the text.

4 Add decorations and text

Let's get started. Insert a picture with Santa Claus.

Execute the command Insert – Drawing and move it to the lower left corner. We reduce its size a little.


Making a callout Insert - Shapes. We change the figure to the desired size.

Now you can add congratulations text with the command Insert – WordArt. We select a sample text font and replace it with our congratulations. Adjust the size of the frame with the text to the size of the callout.

We do the title of the postcard in the same way.

Well, the postcard is ready. All that remains is to save it as a picture and you can send it by email.

5 Save the postcard

To save, select the command File - Save As... We give the postcard a name and, most importantly, change the file type to Drawing in JPEG format


Choose Only the current slide.

Now let's save the presentation so we can use it to create other cards.

How to search for pictures for a postcard?

To make creating a postcard as easy as possible, look for pictures with transparent backgrounds. Such drawings are most often in png or gif file format. It is preferable to use the first format. It preserves gradients well (smooth color transitions).

To search, go to Yandex. Select search section Images(block 1). Enter a key query - what image you are looking for. For example, the year of the pig New Year pictures. You can select the most suitable query in the search suggestions.

You can use filters on the images found. Click Show filters (block 2). An additional panel will open. Now we select the parameters for selecting pictures.

We select drawings by size. We don't need large sizes for an e-card. Therefore, I advise you to put Average or Little ones. In the thumbnails of the pictures you will see their true size.

Which size is preferable? On average, most monitors have a size of 1366x768. So try not to take pictures bigger size. Because when inserted onto a slide, it can cover it entirely.

Choose the orientation yourself. Everything is clear here. But in Type e choose White background. It's easy enough to remove.

But it’s still better to choose a picture without a background. To do this in the filter File select PNG.

Yandex will show drawings based on our selection criteria. In the thumbnails, all pictures will have a white background, but this is not the case. Click on any of them to view in larger size. Now, if in the background instead white you see the cells (chess), then this picture has a transparent background.

It is preferable to use for your greeting card collage. Right-click on it and select the command Copy image and paste it onto the slide.

You can do the same in another search engine.

Creating an animated postcard

The method for creating a static postcard was described above, but you always want something more. Let's try to liven it up a little and add falling snow. To create an animated picture, we need to work a little more and make several slides that differ in the position of the snowflakes on the slides. When quickly changing such slides, the effect of falling snow will be observed.

To save this effect in a picture, you will need another file format - GIF, which is capable of storing and displaying animation in the browser. But in Power Point There is no animation support when saving to this format. Therefore, in the presentation editor we will make blank frames, and to create animation from them we will use online service. Watch the video tutorial below.
